Every Fiatswaps notification goes to the workspace owner. Recipients are never emailed by Fiatswaps, so an approved KYC, a newly issued virtual bank account or a completed swap reaches the recipient only when you pass it on.
1. Who gets the email
Every notification below lands in one inbox, the workspace owner's. This holds even when the email is about a specific recipient and names them:
- A recipient never receives a Fiatswaps notification. Approvals, rejections, account details and swap updates all come to you.
- Verification reaches a recipient because you send it. The KYC email carries a link you copy and forward to the recipient so they can complete it themselves.
- Sign-in and password emails go to the workspace member who asked for them. Those are the only Fiatswaps emails not tied to a recipient.
Note: If a recipient is waiting to hear that they have been approved or that their account details exist, tell them yourself. Fiatswaps does not contact them.
2. What arrives, and when
These are the notifications Fiatswaps sends as a recipient moves through onboarding and starts receiving payments:
| Sent when | |
|---|---|
| KYC reminder | A recipient's KYC was started but not finished. Two reminders only: one at 24 hours, one at 72 hours |
| KYC approved | The recipient's KYC passed. Their virtual bank account is being prepared |
| KYC not approved | KYC could not be approved. The verification flow explains what to fix before retrying |
| KYB required | You added a business recipient, so KYB has to be completed before activation |
| Account ready | The recipient's virtual bank account is issued. The email names the rail and carries the EUR IBAN or USD SWIFT details |
| Deposit received | A payment arrived in the recipient's virtual bank account and the swap has started |
| Payout sent | The USDC from that swap reached the recipient's USDC wallet and is confirmed on-chain |
| Document required | A source of funds document is needed. Processing can stay on hold until it is submitted |
| Document approved | The source of funds review is complete and anything held for it can resume |
| New document required | The document submitted did not complete the source of funds review |
| Onboarding reminders | Setup has stalled before a recipient is live, capped at two reminders per stalled step |
| Weekly digest | Monday, once per workspace, for the week that just closed |
3. The weekly digest
The weekly digest is one email per workspace covering the most recently completed Monday-to-Sunday week in UTC. It reports the total USDC moved that week and how many payouts completed, with a link to the full record for the period.
- One per workspace, per completed week. It is not a per-recipient email and it does not send twice for the same week.
- It is optional. Every digest carries an unsubscribe link.
Note: The digest opt-out applies to the whole workspace, not to one workspace member. Unsubscribing stops the digest for everyone in it.
4. Onboarding reminders
Onboarding reminders are bounded prompts sent when setup stalls before a recipient is live, such as no recipient added yet or a recipient left in draft. The limits are fixed:
- Two per stalled step, at most. One at 24 hours and one at 72 hours.
- A 48-hour minimum gap between any two reminders.
- One reminder per workspace in any 24-hour period.
- They stop on progress. Moving that step forward, or unsubscribing, ends them.
5. What you can turn off
The weekly digest and the onboarding reminders are the two optional categories, and each is switched off from the email itself:
- Open a weekly digest or an onboarding reminder.
- Click Unsubscribe at the bottom of it.
Each unsubscribe covers only its own category. Unsubscribing from the digest leaves onboarding reminders running, and the reverse.
Warning: The verification, account, deposit and payout emails cannot be switched off. They report money movement and required actions on the account, so there is no setting that stops them.
